PRINCIPAL DUTIES AND RESPONSIBILITIES:
  • Perform duties under moderate supervision with intermediate to advanced proficiency in administrative skills.
  • Act as a super user for scheduling, registration, and billing systems. Provide training and assistance to others in these areas.
  • May perform more complex or specialized functions (i.e. surgical scheduling) at highest competency level.
  • Utilize knowledge of HMO’s, managed care and other thirst party insurers, and troubleshoots insurance issues as appropriate.
  • Assist with training and orienting staff as needed.
  • Provide cross coverage as needed.
  • Assist with special projects as directed.
  • Follow HIPAA guidelines for the management of patient privacy and confidentiality.
  • Other duties, as assigned
JOB SPECIFIC

DUTIES AND RESPONSIBILITIES:
1. Responsible for greeting customers in an appropriate, timely, and professional manner. Will check each customer into the office, registering, updating any demographic information, and collecting co-payments. Responsible for ensuring that new patients have brought the appropriate medical record information with them. Stamps all office forms with BWH card/sticker. Accurate confirmation of all appointments to correctly generate bills.

2. Responsible for answering phones, will screen calls, and handle all appropriate situations. Will be responsible for directing to appropriate individual or taking accurate messages. May require sensitive handling of patient and physician calls.

3. Schedules all patient appointments, either over the phone or in person, including referral appointments. Performs all clerical tasks related in doing so, including but not limited to documenting all appointment times and physician and providing all of the information to the customer in a clear, concise manner.

4. Provides information/instructions to patients regarding Hospital and departmental procedures. Will arrange escort or interpreter services, if necessary.

5. Obtain patient history and all appropriate clinical data prior to appointment. Ensure that medical records are in order for the daily appointment schedule.

6. Assists patients with billing information, financial counseling, setting up self paying options and approving patients for free care.

7. Ensures completeness of all forms.

8. Files all materials according to established policies and procedures and in an appropriate and timely manner.

9. Responsible for scanning, copying and faxing materials in an appropriate and timely manner according to departmental policies and procedures.

10. Performs all other duties as assigned.

Requirements:
QUALIFICATIONS:
Level of education required:
  • Minimum of a high school diploma or GED.
Work experience required:
  • Minimum one year applicable work experience required.
  • Some additional training in office systems or other post high school education preferred.
SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:
Technical skills required:
  • Knowledge of practice operations and standards.
  • Understanding of procedures including filing, copying, scanning, printing, and faxing.
  • Phone skills: Ability to use phone system (answer and screen calls, put on hold), handle more complex calls and give more detailed information.
  • Verbal skills: Ability to interpret information as appropriate, answer more complex questions in the most professional manner and communicate in a professional, courteous, clear and concise manner.
  • Organization Skills: Ability to manage work processes in a neat and orderly way and to sort and alphabetize. Ability to manage multiple tasks effectively, follows established protocols, and work within systems.
  • Writing Skills: Ability to correspond and communicate with others clearly and effectively in writing (via e-mail, memo or interoffice note) and to take complete and accurate messages.
  • System Skills: Ability to type accurately and enter data at an intermediate level. Advanced computer skills. Ability to use all applicable applications at highest competency level.
o Understanding of the appropriate use and importance of related forms.

o Intermediate comprehension of registration and fiscal information.

  • Knowledgeable and compliant with all hospital, State and Federal requirements (where applicable to job performance), including policy and procedures with The Joint Commission and HIPAA.
