Contract Type: 6-9 Month Fixed Term Contract
Job Purpose: To provide administrative support to all outlined aspects of HR/QHSE function.
60% remote working and 40% working from Listowel Office.
Key Results Areas of Responsibility in HR
Key Results Area 1: Recruitment
· Update & maintain the Employee Database and files.
· Run monthly reports on Employee numbers - new hires and leavers, probation dates and birthdays.
· Reply to all incoming CV’s.
· Support with the recruitment process, follow up on reference checking, organise interviews & processing of vetting forms.
· Co-ordinate all job advertisements using the required tools, i.e.: newspaper, internet etc.
· Issue follow up letters.
Key Results Area 2: Performance Management
· Liaise and co-ordinate the probation process with all line managers.
· Report on a monthly basis on the completion of probation reports.
· Support the HR manager on all disciplinary issues i.e. note taking.
Key Results Area 3: Training & Development
· Co-ordinate with the HR & QHSE Managers on all training and refresher training. Both internal and external.
· Update & maintain the training database.
· Manage the filing and organisation of all training material.
· Deliver required training on: Manual Handling, Driving for Work, Orientation and HR Resource training.
Key Results Area 4: Reporting
· Assist the Logistics and Accounts departments in the recording and tracking of holiday & sick leave reporting.
· Report to HR manager on Annual leave, quality issues, budgeting and sick leave.
Key Results Area 5: Auditing
· Completion of internal audits on time.
· Report to be filed within a week of audit completion.
Key Results Area 6: Administration and projects
· Quarterly Newsletter for all staff.
· Employee communication and managing PO’s.
· Filing.
· Complete special projects in timely and effective manner.
· Assist in new project initiatives and objectives.
· Support the HR Manager on depot visits.
Key Results Areas of Responsibility in QHSE
Key Results Area 1: Quality
· Assist in the maintenance of ISO 9001; involvement in preparations for surveillance audits.
· Assisting in achieving quality objectives and targets
· Preparatory work for QHSE Management reviews
· Upkeep of Quality documentation such as the PPH
· Supplier and contractor approval, evaluation and related documentation
· Involvement in the identification of non-conformances of our CAPA system
Key Results Area 2: Health and Safety
· Assist in the maintenance of OHSAS 18001; involvement in preparations for surveillance audits
· Assisting in achieving H&S objectives and targets
· Upkeep of H&S documentation such as the safety statement and related documents
· Maintenance of Risk assessments including DSE, MH, Chemical, Ergonomic
· Assistance in planning and providing H&S Training
· Fire & Emergency preparedness and First Aid procedures
· A&S incident investigation; completion of the weekly update of accident database and A & I statistics.
· Upkeep of the drive for work process
Key Results Area 3: Environment
· Assist with implementation and maintenance of ISO 14001
· Assist with the aspect review; preparation and running of environment programmes
· Assistance in planning and providing Environment training
· Upkeep for Environment documentation.
Key Results Area 4: Administration
· Co-ordinate the ordering and management of PPE, equipment and uniforms.
· Keeping all files up to date
· Archive documentation
· Creation of PO’s
Key Results Area 5: Training & Development
· Co-ordinate with the QHSE Manager on all QHSE training and refresher training. Both internal and external.
· Manage the filing and organisation of all training material in co-ordination with the HR Administrator.
Key Results Area 6: Projects
· Complete special projects in a timely and effective manner.
· Assist in new project initiatives and objectives.
