The ideal candidate will be detail-oriented, a good planner with the demonstrated ability to respond effectively and efficiently to any occurring issues. The Administrative Assistant will work closely with other Executive Assistants and Executive Office Manager.
The candidate must have a good sense of business understanding, enabling her/him to effectively prioritize tasks for their own work. The Administrative Assistant has to demonstrate the ability to proactively anticipate challenges. A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company is critical.
The successful candidate will possess the ability to complete complex tasks timely with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without knowing the whole picture.
What does this role involve:
- Close cooperation with Executive Assistants
- Organize, execute, and assist with various activities (logistic support around Exec Team meetings, All-hands, off-sites, and team social events)
- Manage complex domestic and international travel with a strong attention to details, safety and convenience
- Manage invoices payment and expense report coordination and submission in a timely manner, with no supervision
- Coordination of documentation workflow for all entities

We are looking for people who:
- Have 1+ years of experience in administrative roles, preferably gained in a big/ or international companies
- Communicate flawlessly in English (B2/ C1 level) and Polish
- Is highly independent in completing assigned tasks within deadlines
- Is a quick learner willing to continuously gain new skills and improve their expert knowledge
- Perceive constantly changing environment as an opportunity to grow
- Have experience in planning international travel and coordinating meetings and events with participants traveling from other countries - as a strong asset
- Know how to prioritize and handle multiple assignments
- Pay very high attention to details, enabling a high degree of precision across all activities
- Present proactive attitude with a goal driven business oriented mindset
- Have high sense of responsibility and ownership in various initiatives and assignments enabling efficient work under very little supervision
